Your information, your group
Privacy policy
Effective September 19, 2026
GroupVote is developed by Michael. We will never sell your personal data. We collect and use information only to provide the site’s features and the support, security, and operation those features require, or as required by law.
Information used to run GroupVote
- Accounts: your name, email address, sign-in provider identifiers, and session information let you sign in, manage question sets, and find saved votes. Email sign-in uses verification codes. ChatGPT sign-in provides account information through the hosting platform.
- Question sets and responses: we store questions, choices, availability windows, settings, responses, notes, timestamps, and version history. Depending on the host’s settings, a response may include a name or be anonymous.
- Optional emails: if you request result notifications, we store your notification email and use it to send results. Account verification and support also use email.
- Support and security: we process messages you send us and information needed to prevent abuse, including rate-limit identifiers derived from request information such as an IP address. Hosting and service providers may process technical request and error logs to operate and secure the service.
Who can see responses
The host can see submitted answers and notes, including notes marked private to the host. The host controls when group results are visible and whether respondent names or shared notes appear. Optional result emails can include an outcome summary even when detailed results are host-only.
Anonymous responses do not show your account name to the host or other voters. If you are signed in, your response is automatically saved privately to your account, including anonymous responses. This means anonymity within the group does not mean the response is unlinked to your account within the service.
Question-set links and access codes can be forwarded. Treat response receipts as private: they let someone access that response and may allow an unclaimed guest response to be saved to an account. Avoid submitting sensitive information that you do not want the host or intended results audience to see.
Service providers and optional AI
We use service providers to deliver these features: Sites and Cloudflare for hosting and storage, Supabase for email authentication, Resend for email delivery, and OpenAI for Luna’s AI features. Information necessary for a feature is processed by the providers involved. We do not sell or rent personal information or use it for advertising.
When you use Luna, your conversation and current question-set draft are sent to OpenAI to help create or edit questions. If you choose voice input, the audio is sent for transcription; GroupVote does not save the audio in its application database. Using Luna does not automatically send your group’s submitted responses to it. Provider processing and retention are subject to their applicable terms and privacy policies.
We may disclose information when legally required or when necessary to protect users and the service against abuse.
Cookies and browser storage
Essential cookies keep you signed in, remember a device’s participation, and return you to the right page after sign-in. Sign-in sessions last up to seven days; the device cookie lasts up to one year. A temporary sign-in return cookie lasts up to one hour. Vote receipts are also saved in your browser’s local storage so you can return to a response. You can clear these through your browser, but doing so may remove access to an unsaved guest vote. GroupVote does not add advertising trackers.
Retention and your choices
We retain accounts, question sets, and responses to provide the features you use. Editing a published question set can preserve prior versions and their responses; editing or closing a set does not erase its history. Deleting a question set removes its associated responses and saved-vote links from the application database. Service-provider logs and backups may have separate retention periods.
You can update your profile information in your account, decide whether to request result emails, and choose whether to use Luna. To request access, correction, or deletion of personal information, contact support@group-vote.com or use our support form. We may need to verify your identity before fulfilling a request. We may retain information when required by law or necessary to address security incidents.
Security and changes
We use safeguards such as secure sign-in cookies and access checks to protect information, but no online service can guarantee absolute security. If this policy changes, we will update this page and its effective date. Contact us with any privacy questions.
